1. Who We Are

SmartMQ is a field service CRM application operated by JJ Smart Holding Limited, Auckland, New Zealand. We provide workflow management software for curtain and blind installation businesses.

2. Information We Collect

  • ·Account information — name, email address, phone number, role (Admin, Sales, Measurer, Installer)
  • ·Customer data entered by your business — customer names, addresses, phone numbers, email addresses
  • ·Job and measurement data — room names, window dimensions, product selections, site photos
  • ·Device information — device type, operating system, push notification token (FCM) for job alerts
  • ·Usage data — pages visited, actions taken within the app (not sold to third parties)

3. How We Use Your Information

  • ·Providing the SmartMQ service — job management, quoting, scheduling, invoicing
  • ·Sending push notifications for job assignments, bookings, and status updates
  • ·Sending transactional emails (quote PDFs, booking confirmations, installation reminders) via Brevo
  • ·Sending SMS or WhatsApp notifications to customers via ClickSend or Meta
  • ·Improving the application — debugging, performance monitoring

5. Data Storage and Security

All data is stored in Google Firebase Firestore (cloud database) with servers in the United States. Data is encrypted in transit (TLS) and at rest. Access is controlled by Firebase Security Rules — users can only access data belonging to their franchise.

Site photos are stored in Firebase Cloud Storage. Invoice and quote PDFs are also stored in Firebase Cloud Storage with secure download links.

6. Data Retention

Job, customer, and quote data is retained for as long as your business account is active. If you close your account, data is deleted within 90 days upon written request. Push notification tokens are removed when you sign out.

7. Your Rights & Account Deletion

You have the following rights regarding your personal data:

  • ·Access — you can request a copy of the data we hold about you
  • ·Correction — you can update your information within the app or by contacting us
  • ·Deletion — you can request deletion of your account and all associated data
  • ·Portability — job and customer data can be exported on request

To request account deletion, email info@smartmq.app with the subject line "Account Deletion Request" and include your registered email address. We will delete your account and all associated personal data (name, email, phone number, FCM tokens, job records, photos, and documents) within 30 days. Some data may be retained for up to 90 days in backups before permanent deletion. Financial transaction records may be retained for up to 7 years as required by law.

8. Children's Privacy

SmartMQ is a business application intended for use by adults aged 18 and over. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us immediately.

9. Changes to This Policy

We may update this policy from time to time. We will notify active users by email or in-app notification for material changes. The "Last updated" date at the top of this page reflects the most recent revision.
